A large organization in Sweden gathered its entire department for a three-day kick-off on Gotland. The goal was to strengthen camaraderie, foster inspiration, and build relationships through meetings, workshops, dinners, and shared experiences.
The challenge was the sheer scale. Hosting over 750 participants requires more than just large venues – it demands efficient logistics, clear structure, and a welcoming atmosphere that feels personal, even on a large scale.
Through Resort Visby, a concept was created where the entire city of Visby became part of the conference. Travel was coordinated so that participants arrived on the island together. Accommodation was spread across several hotels within walking distance in the World Heritage city, making it easy to move between lodging, meetings, and activities. Wisby Strand served as the hub for the conference and the concluding gala dinner, while historic settings like the St. Nicolai church ruin provided the backdrop for mingling and social evenings. Simultaneously, a large number of breakout rooms in the city center were used for workshops and smaller meetings.
Activities were a crucial part of the overall experience. Gotland's history, nature, and urban environment were utilized as the setting for a large-scale experience that engaged the entire group and fostered connections across departmental boundaries.
For three days, Visby was filled with energy, conversations, and laughter. Despite its large scale, the conference felt cohesive and personal. Participants returned home with strengthened camaraderie, new contacts, and shared memories. At the same time, the event clearly demonstrated how Gotland, through Resort Visby and with Hansa Event as a coordinating partner, can host truly large conferences and congresses – without compromising safety, quality, or hospitality.
